Event Details

Please check this website for any last minute announcements/updates before travel on the 11th.

The times of this years' events has been delayed as late as practicable to give those swimming in the finals of the SER ASA championships the best chance of arriving in time for their event in these championships.
It is not practical to introduce further delays in the event of any delays in the SER events or travel.

Doors Open: 17:45
Warm-up: 18:10 (see further details below)
Start (latest): 19:00*
Finish (estimated): 20:30

* If all schools/swimmers from SER championships are available before the scheduled start time, the gala may start 5-10 minutes earlier

We are short of a couple of officials/Timekeepers to ensure the smooth running of this gala - If any parents of swimmers are able to volunteer to assist it would be much appreciated. Please volunteer via your school contact.

If there is anyone who has experience of operating Daktronics 2000 timing system, their assistance would also be appreciated to help in the smooth running of the gala.

Spectators entry fee will be charged £2.00 for adults (this helps to fund the event)

Warm-Up Arrangements

We have an estimated 300 swimmers to warm-up in 45 minutes and therefore have determined that we will run warm-up in 10 minute slots in category order:

Small Schools 18:10-18:20
Open Girls 18:20-18:30
Medium Schools 18:30-18:40
Open Boys 18:40-18:50

Please listen carefully to announcements.
There will no diving during warm-ups unless otherwise announced.
There is no allocated lane, but we would expect schools to organise themselves such that there are 3 teams per lane per warm-up slot.

Schools should present themselves for registration in good time to ensure swimmers are changed and ready for their slot. The cooperation of schools in later slots to allow the earlier schools to register is appreciated.

During warm-up, swimmers should avoid blocking the ends of the lanes and swim according to the following convention for safety:
- Odd numbered lanes : Clockwise (swim on the left side of the lane in direction of travel)
- Even numbered lanes : Anti-Clockwise (swim on the right side of the lane in direction of travel)

Programme of Events

The running order for this gala normally mirrors that to be used at the national finals.
However, since small schools is the only category that have not identified any risk of late arrival due to the SER championships, these have been placed first this year to maximise the time for those who may be involved:

1. Small Schools Freestyle Relay Heats
2. Open Girls Schools Mixed Stroke Relay Heats
3. Medium Schools Freestyle Relay Heats
4. Open Boys Schools Mixed Stroke Relay Heats

5. Small Schools Freestyle Relay Final
6. Open Girls Schools Mixed Stroke Relay Final
7. Medium Schools Freestyle Relay Final
8. Open Boys Schools Mixed Stroke Relay Final

9. Small Schools Mixed Stroke Relay Heats
10. Open Girls Schools Freestyle Relay Heats
11. Medium Schools Mixed Stroke Relay Heats
12. Open Boys Schools Freestyle Relay Heats

13. Small Schools Mixed Stroke Relay Final
14. Open Girls Schools Freestyle Relay Final
15. Medium Schools Mixed Stroke Relay Final
16. Open Boys Schools Freestyle Relay Final

If there are fewer than 9 teams entered into an event, the heats for that event will not run and the event will be run as a straight final.

Clarification of Take-over rules

There will be no diving at the shallow end at any time during this gala for safety reasons.
Diving at the deep end (start end) is dependent on the abilities of the swimmer, swimmers may start in the water if they are not able to dive safely.
The following rules are part of the conditions for this gala and apply whenever any 'in-water' starts or takeovers occur

The rule and guidance used by SE Division for in the water takeovers is based on guidance from British Swimming:

RULE: “For relay races for swimmers starting their leg (other than 1st leg) in the water, at least one hand of the swimmer starting in the water must remain in contact with the starting platform until the incoming swimmer has completed their length and touched the end of the lane.
For swimmers starting the race in the water (i.e. 1st leg) at least one hand of the swimmer starting in the water must remain in contact with the starting platform until the start signal is issued.”
GUIDANCE: “The starting platform is any of the starting block, the pool wall at the end of the lane, or a pad attached to the pool wall at the end of the lane; Where two hands are in contact they can be with any combination of the block, wall or pad”
GUIDANCE: “The team of the swimmer who has neither hand in contact with the starting platform before the preceding swimmer touches the end of the lane should be disqualified.”

Examples:
When the incoming swimmer touches, if the outgoing swimmer is:
Holding with one hand = good takeover – No DQ
Holding with two hands = good takeover – No DQ
Not holding with either hand = illegal takeover – DQ
Note: The position of the feet is immaterial to the decision

Final Notes to Schools*

* updated 5/5/2019 - further updates may be added later if last minute issues arise - Please check this website before travel.

We hope that you are all looking forward to the gala on Saturday.
This is just a short note for a few reminders. Please check the website (http://southeastschoolswimming.org.uk/diary.html?opt=detail&id=167) for the latest updates and any last-minute details.

The top 3 teams in each event will be awarded medals and invited to represent the southeast at the National round in Sheffield on Sat 15th June.
There is a very short deadline for the SE division to advise the organisers of the National Championships of the nominated teams, so please come prepared to accept/decline your place at that gala if successful. A pack will be handed to each qualifying team – please ensure that you collect your medals/pack before departing!

The gala takes place at Guildford Spectrum Leisure Complex, Parkway, Guildford, Surrey, GU1 1UP
At weekends the car park has no zoned restrictions and is FREE. There are 1000 spaces and coach parking is available
Doors open at 5.45pm – if you arrive before this time, please keep the entrance clear for other users of the centre.

Please ensure that you bring a completed and signed copy of the team list and have this available when you sign-in (available for download at the above link).
We have 66 schools to check-in so your assistance with these forms is essential to a smooth start.

Warm-up will start as close to 6:10 as we can and will continue till 6:50.
Team managers will be responsible for their swimmers during the gala at all times, including during the warm-up.
Please ensure they adhere to all safety rules and announcements.
Please also ensure that they report to marshalling in plenty of time for their event.
Team Managers will be provided with a full programme on arrival.

There is plenty of spectator space for parents. Please be aware that there is a small charge for spectators (£2) to help fund the gala.
Please ask parents to bring change to save a run on the float.

The gala is being run for the benefit of the swimmers, but must adhere to FINA swimming rules in the interest of fairness.
Occasionally infringements lead to disqualifications and it is understood that this can lead to some disappointment.
Please ensure that all swimmers are familiar with the particular conditions for takeovers at this event (available on the website).
No diving is allowed at any time at the shallow end of the pool. All takeovers at that end will be in the water.
Protests can be accepted in accordance with FINA rules, but these must be made with due respect for the officials.
Protests will only be accepted if made by the Team Manager. These will be handled by the Referee. The decision of the referee must be respected without harassment. No other officials may be approached by the team manager or parents.
Appeals in writing may be considered by the promoter. Appeals must be submitted on the day, stating any material facts and legitimate grounds for appeal.
It should be noted that FINA rules do not permit the consideration of video or photographic evidence from team managers/parents.

Best regards and good luck

Phil
